How can we change staff usernames after adding a new email domain?
Overview
Usernames on Ten Ten accounts cannot be edited directly. If your school has added a new email domain, staff usernames will need to be updated by removing and re-adding users with the new domain.
Who can manage users?
User management can be carried out by:
- Account Administrators (responsible for payments and overall account management)
- Programme Coordinators (responsible for overseeing programme delivery)
Both roles have access to:
Manage Account → Manage Users
Why can’t usernames be changed directly?
Usernames (which are linked to login email addresses) are fixed once created.
This means:
- Updating the domain does not automatically update usernames
- A new account must be created to reflect the new email domain
How can we update staff usernames?
There are three main options:
Option 1: Manually remove and re-add users
- Go to Manage Account → Manage Users
- Remove the existing user
- Re-add them using the new email domain
Option 2: Ask staff to sign up again
- Share the Sign Up URL with staff
- Ask them to create a new account using the updated domain
This is often the quickest option for larger teams.
Option 3: Bulk upload via CSV (recommended for large schools)
We can support a bulk import of users.
To do this, simply provide:
- First name
- Last name
- Email address (with new domain)
Our team can then upload all users for you.
What will I see in the system?
Once your domain has been updated:
- The new domain will appear in the dropdown when adding users
- You can select it when creating new accounts
Important considerations
- Existing usernames will continue to work unless removed
- Re-adding users ensures consistency with your new domain
- Bulk upload is the most efficient method for large teams
